Cooperative management, end to end

Empowering cooperatives for a stronger tomorrow

OnePangea runs your members, savings, loans, shares, commodities, investments and accounts in one system, with a portal members use on their phones. Approvals follow your rules, and every transaction lands in the books as it happens.

  • Second approver on every payout above your limit
  • Member ledgers reconciled to the general ledger
  • Member portal in any phone browser, no app to install

Illustrations use sample data.

Built for

  • Staff and employee cooperatives
  • Thrift and credit societies
  • Multipurpose cooperatives
  • Farmers' and producers' cooperatives
  • Market and traders' cooperatives

Why OnePangea

One system in place of ledger books, spreadsheets and approvals on WhatsApp

Members see their own money

Balances, statements, loan applications and guarantee requests sit in a portal members open on their phones. That means fewer visits to the office and fewer disputes at the AGM.

Approvals follow your rules

Withdrawals, loans, share redemptions and cancellations follow approval rules you set by amount, with second approvers, daily limits and checks that stop staff approving their own accounts.

The books keep up by themselves

Every contribution, repayment and payout posts to the general ledger as it happens, and member savings, shares and loans reconcile to their control accounts.

Features

Every part of the cooperative, in one place

Fourteen modules share one member record and one set of books, so a payroll deduction, a loan repayment and a dividend all land in the same place.

Members and money

Lending

Trading and investments

Finance and control

Membership and KYC

One record for each member, from application to exit.

  • Online membership applications, with entrance fee and approval
  • BVN and NIN verification at registration
  • Member categories, branches, employers and staff numbers
  • Beneficiaries and next of kin, changed only with a second approval
  • Document store for ID cards, forms and signed consents
  • Exit and estate settlements that net savings, shares and loans in one step
For example

A new staff member applies on Monday, pays the entrance fee by transfer, and is approved by the secretary in time for the next payroll deduction.

Savings and deposits

Every savings product your bye-laws allow, with the rules built in.

  • Ordinary, target, fixed and special deposit products
  • Interest on savings, calculated and posted in one run
  • Withdrawal notice periods, limits, charges and minimum balances
  • Savings that back a loan or a guarantee locked automatically
  • Transfers from savings to shares or to loan repayments
  • Defaulter lists of members who missed a month's contribution
For example

A member asks to withdraw ₦300,000. Only ₦180,000 is free after her loan lien and minimum balance, so OnePangea won't let the request go above that.

Payroll check-off

One remittance from each employer, split correctly across every member.

  • Monthly deduction schedules for each employer or ministry
  • One remittance split across savings, shares, loans and commodity repayments
  • A variance report when an employer pays more or less than scheduled
  • Hundreds of members posted in a single batch
  • Deduction schedules ready to send to each payroll office
For example

A ministry's October remittance of ₦18.6m posts to 412 members' savings, loan and commodity accounts in one batch, and the ₦42,000 shortfall shows on the variance report.

Shares and dividends

A share register for every member, and year-end runs for dividends and patronage refunds.

  • Share subscriptions and a share register per member
  • Redemptions that need two approvals and check for open loans
  • Dividend and patronage refund runs at year end
  • Share prices and minimum holdings per share product
  • Share statements and certificates

Loans

From application to the last repayment, with eligibility checked at every step.

  • Loan products with savings multiples, tenors, rates, fees and insurance
  • Online applications checked against savings and existing loans
  • Flat-rate or reducing-balance repayment schedules
  • Top-ups, rescheduling, moratoriums and early settlement
  • Automatic penalties and arrears ageing
  • Repayment by payroll, bank transfer or from savings
  • Provisioning and write-off with approval, and recovery tracking
  • Loan statements for members and staff
For example

A ₦1.2m application arrives with the member's savings cover, existing loans and guarantor cover already worked out, so the loan officer decides from one screen.

Guarantors

Guarantees that members accept themselves, backed by savings that stay put.

  • Guarantors nominated online and accepted by the guarantor on their phone
  • Signed paper consent recorded with a second approver
  • Guarantor savings locked until the loan is repaid, then released
  • Guarantor substitution when a guarantor leaves
  • Recovery from guarantors' savings after a default
  • A guarantor exposure report across the cooperative

Bulk purchasing and commodities

Buy in bulk for members and recover the cost through deductions.

  • Bulk purchases of foodstuff, household goods, electronics and building materials
  • Members order through the portal, for cash or on credit
  • Commodity credit repaid through payroll or savings
  • Supplier quotes, purchase orders and invoices
  • Distribution lists and collection tracking for each member
For example

Members order 50kg bags of rice in November, collections are ticked off at the store, and repayments start with the December payroll.

Inventory and stores

Stock records that match what members collected.

  • Stock across stores and warehouses
  • Goods received, transfers and stock counts
  • Reorder levels and stock valuation
  • Each distribution reduces stock and posts to the books
  • Stock reports for the board and auditors

Investments

A clear view of the cooperative's own money at work.

  • Fixed deposits, treasury bills, bonds, equities and real estate projects
  • Tenors, maturity alerts and rollovers
  • Interest and returns accrued to the books
  • An investment register with performance for the board
  • Investment income ready for the dividend calculation

Payments and banking

Members pay the way they already do, and every payment posts itself.

  • A dedicated virtual account for each member
  • Bank transfers, cards and USSD posted to the right account automatically
  • Bank statement import and reconciliation
  • Bulk payouts for approved withdrawals and loans
  • Payment receipts sent to members by SMS or email
For example

A member transfers ₦25,000 to her own virtual account on Saturday night, and it shows on her savings statement before she wakes up.

Accounting

A full general ledger that every member transaction feeds.

  • General ledger, bank, cash and fixed assets
  • Every contribution, repayment and payout posted automatically
  • Interest income accrued month by month
  • Expense and income vouchers with maker-checker approval
  • Budgets, period close and year-end
  • Balance sheet, income and expenditure, and cash flow statements

Reports and governance

The figures your executives, auditors and the state ask for.

  • Member, savings, loan and share statements
  • Portfolio at risk and arrears ageing
  • Cash book, trial balance and management accounts
  • AGM pack and annual returns for the state Director of Cooperatives
  • A board dashboard with trends and approvals waiting
  • Export to Excel and PDF

Controls and security

Built so that no one person can move money or rewrite history.

  • Approval rules by amount for withdrawals, loans, redemptions and cancellations
  • Daily approval limits for each approver
  • Conflict checks that stop staff approving their own accounts
  • Role-based and branch-level access, with two-factor sign-in for staff
  • BVN, NIN and bank details encrypted and masked
  • A tamper-evident audit trail of every action
  • Corrections post as reversals, so closed months never change

Notifications

Members hear about their money as it moves.

  • SMS, WhatsApp and email alerts
  • Contribution received, loan approved, repayment due and guarantee requested
  • Approval requests routed to the right officer
  • Monthly statements by email

Member portal

A member portal that saves a trip to the office

Members sign in from any phone or computer and handle their own requests, while your officers approve them from the management portal.

  • See savings, shares and loan balances at any time
  • Download statements for any period
  • Apply for a loan and nominate guarantors
  • Accept or decline guarantee requests
  • Request withdrawals and follow each approval
  • Pay contributions and repayments online
  • Order commodities from the cooperative
  • Update contact details and upload documents

Works in any phone browser. There's no app to install.

Controls

Every payout follows your approval rules

You decide who approves what, up to which amount, and when a second approver is needed. OnePangea enforces it on every withdrawal, loan, share redemption and cancellation.

  1. Request

A member or officer raises a withdrawal, loan, redemption or cancellation.

  2. Checks

Free savings, liens, limits and your bye-law rules are checked automatically.

  3. First approval

An officer with the right role approves, within their daily limit.

  4. Second approval

Above your limit, a different officer approves. No one approves their own account.

  5. Payout and posting

The payment is recorded and posted to the ledger in the same step.

Closed months stay closed

A correction posts as a reversal on the day it's made, so months you've closed and reported stay exactly as they were.

Ledgers that agree

Member savings, shares and loans are matched to their control accounts in the general ledger, and any difference is flagged.

A tamper-evident audit trail

Every action, including failed attempts, is recorded in a chained log that shows if anything is edited or deleted.

Personal data protected

BVN, NIN and bank account numbers are encrypted, and masked from staff who don't need to see them.

Onboarding

From ledger books to live, with your figures intact

We move your cooperative across in four steps, and nothing goes live until your executives have signed off the numbers.

  1. Set-up

We configure your savings, share and loan products, approval rules, branches and chart of accounts with your executives.

  2. Data migration

We import members, balances, shares and loans from your spreadsheets or old system, run a dry run, and reconcile it to your last audited figures.

  3. Training

Staff, executives and auditors are trained on site in Lagos and Abuja, or online.

  4. Go-live and support

Members get their portal logins, and your officers have our support team behind them from the first month-end.

FAQ

Questions cooperatives ask us

Can we move from spreadsheets or our current software?

Yes. We import your members, balances, shares and loans, run a full dry run, and reconcile it to your last audited figures. Your executives sign off the import before it's posted.

Do members need to install an app?

No. The member portal works in any phone or computer browser, and members sign in with their email address and a password.

We're a staff cooperative. Does it handle payroll deductions?

Yes. You get a deduction schedule for each employer every month, and each remittance is split across members' savings, shares, loans and commodity repayments.

Can an officer approve their own withdrawal or loan?

No. OnePangea blocks approvals on an officer's own member account, and the person who raises a request can't approve it.

Where is our data kept, and is it backed up?

Your data is hosted in our managed cloud, with automatic backups through the day. Personal identifiers such as BVN, NIN and bank account numbers are encrypted.

Can we run several branches or zones?

Yes. Members, accounts and staff are assigned to branches, and each officer's access can be limited to their own branch.

Do you train our staff?

Yes. Training for staff, executives and auditors is part of onboarding, on site in Lagos and Abuja or online.

Can we export our records?

Yes. Reports and statements export to Excel and PDF at any time.
